Office Manager/ Administrative Assistant @ Open Austria – San Francisco

 

Open Austria is a joint initiative by the Federal Ministry for Europe, Integration and Foreign Affairs and the Austrian Economic Chamber. Our mission is to connect Austrian entrepreneurs, startups, scientists, and creative minds to the Valley and provide those who are already here with a home base.

We are currently looking for an experienced Office Manager/ Administrative Assistant for our San Francisco office to start ASAP. We seek candidates with strong written and verbal communication skills in English and German, a positive and success-driven attitude, and proficiency in administrative tasks.

You will work closely with entrepreneurs, scientists, artists, as well as official institutions and organizations in Austria and the US. You will directly assist the Co-Directors of Open Austria and actively help develop our business development efforts and strategy. You will manage a wide variety of day-to-day tasks, including greeting visitors, planning events and lunches, dealing with facilities, and keeping the office organized and well-stocked. Responsibilities include, but are not limited to:

  • Organize office operations and procedures, support team
  • In charge of database and vendor management
  • Assist with or perform financial processes such as payments, invoices, and expenses
  • Coordinate all daily priorities (incl. travel arrangements and itineraries, expense reports) and manage incoming correspondence
  • Coordinate and maintain daily/weekly/monthly calendars and schedules
  • Produce letters, memoranda, presentations, reports as necessary; proofreading
  • Assist with the preparation of high-level delegations (politicians, ambassadors, entrepreneurs etc.) and events
  • Act as liaison between Open Austria and Austrian Foreign Ministry/Consulate in Los Angeles
  • Prepare reports on international innovation and ecosystem
  • Special projects as assigned

Your Profile

  • A fun and professional personality with a great team player, can-do attitude
  • Proven office management, administrative or assistant experience, preferably for a startup or government organization
  • Attention to detail and strong organizational skills
  • An interest in working with and connecting entrepreneurs, innovators, scientists, experts from different cultural backgrounds
  • Good command of English and German
  • Excellent communication skills
  • Strong proficiency and understanding of tech, Google Docs, and Microsoft Office, especially Excel
  • Ability to handle multiple projects, work under pressure of deadlines, and excellent follow-through in a fast paced environment
  • US work permit a plus but not a must

Silicon Valley Internship @ Open Austria – San Francisco, Fall 2018

 

Open Austria is a joint initiative by the Federal Ministry for Europe, Integration and Foreign Affairs and the Austrian Federal Economic Chamber. Our mission is to connect Austrian entrepreneurs, startups, scientists, and creative minds to the Valley and provide those who are already here with a home base.

We are currently looking for at an intern for the this fall at our San Francisco office to support our activities in the Bay Area. We seek candidates with a passion for innovation, technology, startups and the arts who have proven skills in research, event organisation and presentational communication. Fluency in German and English is essential.

You have an outgoing personality, are passionate about innovation with a “roll up your sleeves and get things done” attitude and are eager to inhale the innovative Silicon Valley air. You will work closely with entrepreneurs, scientists, artists, as well as official institutions and organizations in Austria and the US. Your duties include research, drafting papers and reports, preparing and organising events, attending relevant meetings at think tanks, government agencies etc., as well as assistance with the everyday tasks.

Responsibilities include, but are not limited to:

  • Conduct industry, market and scientific research and assist in Open Austria’s business development efforts/strategy
  • Assist with the preparation of high-level delegations from Austria
  • Assist during special events and meetings
  • Prepare reports on international innovation ecosystems
  • Prepare marketing documents
  • Support client meetings
  • Administrative duties, such as handling reservations or administrating contacts etc

Your Profile

  • Austrian citizenship
  • A valid health insurance (accident insurance will be concluded by the employer) that will cover medical expenses in the US (Auslandskrankenversicherung)
  • An active enrollment at an accredited university (at least three semesters of academic studies)  pursuing a Bachelor-, Master- Degree or a Magister Degree Program or recent completion of studies
  • Good command of English and German
  • A strong interest in topics including entrepreneurship and startup culture
  • Some prior relevant professional experience (internship, volunteer, work, etc.), preferentially at a startup
  • Experiences with technology and loves to learn
  • Strong organizational skills in a deadline-oriented environment, while keeping attention to detail
  • Proven ability to conduct research and reportings as well as presentational communication skills
  • Passion for Open Austria’s mission to connect Austrian and Silicon Valley in business, science, technology and the arts
